1. About this policy
Transco Cargo Sydney ("Transco", "we", "us") sends parcels and cargo from Australia to Sri Lanka and India. We follow the Australian Privacy Principles in the Privacy Act 1988 (Cth). This policy explains what personal information we hold, why, and the choices you have. It applies to our website, the My Transco customer portal, our WhatsApp and web chat assistant (Transco Agent), our warehouse counter and our phone service.
2. What we collect
- Account details: your name, mobile number, email address, address, preferred language and password (stored only as a secure hash).
- Sender and receiver details for each shipment: full names, addresses, town, phone numbers, email addresses, and passport or NIC numbers.
- Shipment details: boxes, what's inside and its value, insurance choice, dangerous-goods answers, your typed name and optional signature on the declaration, weights, prices, payments and tracking.
- Messages: what you send us on WhatsApp, the web chat, email or phone notes made by our staff.
- Technical information: sign-in records and basic information your browser sends (such as IP address), used to keep accounts secure.
3. Why we collect it
- To book, collect, ship, clear and deliver your goods, and to keep you updated.
- Customs: Sri Lanka and India Customs require a declaration naming the sender and receiver with their passport or NIC numbers. We only ask for these numbers for that purpose.
- To run your My Transco account, answer your questions and handle payments and invoices.
- To meet our legal obligations (for example tax and customs record keeping).
- To send you shipping-date and service updates. You can opt out of marketing messages at any time by replying STOP or asking our team.
If you don't give us the information customs requires, we may not be able to ship your goods.
4. How we collect it
Mostly from you: on our website and My Transco, through WhatsApp or web chat, on the walk-in form at our counter, by phone or email. If you send goods to someone else, you give us the receiver's details — please make sure they know you are sharing them with us and why.
5. How we protect passport and NIC numbers
- They are encrypted in our database.
- In My Transco you only see them partly hidden (for example N••••567).
- Only signed-in Transco staff can see the full number, and every time they do it is recorded.
- We never use your passport or NIC number as our own customer number.
- We remove them from our records once they are no longer needed for customs or legal purposes.
6. Who we share it with
- Customs and government authorities in Australia, Sri Lanka and India, as required to clear your shipment.
- Our partners who move and deliver your goods: shipping lines, freight forwarders, our clearing agents and delivery teams in Sri Lanka and India.
- Service providers who help us run our business: cloud hosting and database services, website hosting, WhatsApp (Meta), email and calendar services, and payment providers. They may only use your information to provide their service to us.
- Anyone else only with your consent, or where the law requires or allows it.
We do not sell your personal information.
7. Sending information overseas
Because we ship to Sri Lanka and India, your shipment details — including names, addresses, phone numbers and passport or NIC numbers — are sent to customs, agents and delivery partners in Sri Lanka and India. Some of our service providers store data outside Australia, including in the United States. We take reasonable steps to make sure these recipients handle your information in line with the Australian Privacy Principles.
8. Automated tools
Our chat assistant (Transco Agent) answers questions and gives approximate prices automatically. Final prices, bookings and any decision that affects you are checked by our staff. We do not make decisions that significantly affect your rights based only on automated processing.
9. How long we keep it
We keep shipment records, declarations and invoices for as long as Australian tax and customs law requires, then delete or anonymise them. Passport and NIC numbers are removed as described in section 5. If you close your account, we delete your account and personal details within 30 days, except records we must keep by law.
10. Your choices and rights
- See and download your information: in My Transco → Profile → Download my data, or ask our team.
- Correct it: update your profile and bookings in My Transco, or ask our team.
- Delete your account: in My Transco → Profile → Delete my account.
- Stop marketing messages at any time.
We will respond to requests within 30 days. We may need to confirm your identity first.
11. Cookies and browser storage
Our website uses your browser's storage to keep you signed in, remember your language and save a booking in progress. We do not use advertising cookies.
12. Data breaches
If a data breach is likely to cause you serious harm, we will tell you and the Office of the Australian Information Commissioner (OAIC) as required by the Notifiable Data Breaches scheme, and tell you what you can do to protect yourself.
13. Questions and complaints
Contact us by phone on 0434 842 023, or write to Unit 1, No 79 Station Road, Seven Hills NSW 2147. We aim to resolve complaints within 30 days. If you are not satisfied, you can contact the OAIC at oaic.gov.au or 1300 363 992.
14. Changes to this policy
We may update this policy. The latest version is always on this page, with its date at the top. If we make a significant change, we will let My Transco account holders know.
